Step by step instructions to set up a Job

First things first...

Before you can get started creating Jobs, we need to create... you guessed it... Custom Properties. 

The fields to house basic Job information (job number, job name, etc.) already exist, but additional information you might want to capture about each job will need to be configured.  You'll also want to start building your customer list for repeat business.  In this lesson we will...

Create Job Custom Properties
Create Customers

If you are already logged in to Idencia, skip to the Create Job Custom Properties section below.

Login to Idencia

  1. Click the link below to open the Idencia Tutorial site in a new browser tab.  Once a new browser tab is open and the tutorial site has been loaded, you'll need to return to this tab to finish reading your instructions.

  2. Login to the Tutorial site using the credentials below

    User Name: <your email address>
    Password:  <supplied by your Idencia Customer Liaison>

  3. Verify that you now have three browser tabs open for your Idencia 101 work.
    1. This page
    2. The Idencia Tutorial site
    3. The customer invoices your boss gave you

Create Job Custom Properties

By now, you should be pretty familiar with creating custom properties, so no screen shots this time, just the steps.

  1. In the left-hand navigation menu, select Setup --> Custom Properties
  2. Click the JOBS tab
  3. Click New Custom Property

    Now look at the first invoice.  The customer is Joseph Doe at Best Customer, Inc.  Also included is the customer's address, a "ship to" address, and some delivery instructions.  Your company also requires a Purchase Order from the customer before production can start.

    Don't worry about the customer name, we'll get to that later.  For now, let's create custom properties for the delivery address and the job's purchase order number.  Delivery address will definitely be a mix of numbers and letters, so a text custom property is appropriate.  For the PO Number, the Custom Property name might be PO Number but many purchase order numbers contain both numbers and letters, so let's make that a text field as well.

  4. Select the Text Custom Property radio button
  5. Enter <YourFirstName> - Delivery Address in the Name field
  6. Click Save
  7. Click New Custom Property
  8. Select the Text Custom Property radio button
  9. Enter <YourFirstName> - Purchase Order Number in the Name field
  10. Click Save

Now, let's deal with the Customer Name

Create Customers

  1. In the left-hand navigation menu, select Setup --> Customers
  2. Click New Customer
  3. Enter <YourFirstName> - Best Customer, Inc. in the Name field
  4. Click Save
  5. Click New Customer
  6. Enter <YourFirstName> - Second Best Customer, Inc. in the Name field
  7. Click Save

All set!  You now have your customers added to the customer list, and you've configured the fields you need to fill out each time you create a Job.  Use the link below to continue to the next lesson where you'll create a job for each customer order.
