What is the Idencia Management Portal?

Overview

The Idencia Management Portal is a web based application used to set up your Idencia system, manage your Jobs, view the status of production and view or edit existing Items and Groups. There are 4 main tasks you can perform with the Management Portal.  These are:

  1. Set Up Idencia
  2. Create and Manage Jobs and Shipments
  3. View Reports
  4. View and Manage existing Items or Item Groups

Primary Management Portal Components

Below is an overview of the main components of Idencia.  These components working together allow you to create and track all of the information about the products you create.

Items

Items are the things you make.  You use Idencia to identify your Items and to record information about your Items.

Item Types

Every Item is defined by an Item Type.  Think of the Item Type as the template for the Item.  The Item Type also associates the Process to use when creating the Item and can have Custom Property values that will be common to all Items of that type.  Item Types are typically used to define the stock items that you make.

Processes

A Process is simply a series of Steps which can be grouped into one or more Phases.  You use a Process to collect the required information using the Idencia Mobile app.  If the Process has multiple Phases, the data collection will stop at the end of each Phase.  You can then move on to the next Phase, or start working on a different Item.

Custom Properties

Custom Properties are placeholders to store information that are associated with an Item, Item Group or Item Type.  Some Custom Properties may be used with every Item, and some may only be used with certain Items.  The value of an Item or Item Group Custom Property is most commonly entered during a Process Step using Idencia Mobile App.  The value of an Item Type Custom Property is entered when you create or edit the Item Type.

Reports

Idencia has extensive reporting capabilities.  There are several standard Reports that are available to you when you first start using Idencia.  In addition to these standard Reports, Custom Reports can be created by our Customization team to give you exactly the information you are looking for.  Please contact our Customization team at support@idencia.com to learn more about custom Reports.

Item Groups 

Item Groups are simply groups of Items.  An Item Group can also have a Process associated with it so you can record information one time and that information will be linked to all the Items in that group.  Common examples of Item Groups are forms that make more than one item, stack groups and shipment groups.

Item Group Types 

Similar to Items having Item Types, Item Groups are defined by Item Group Types.  The Item Group Type defines the number and Type of Items that make up the Item Group, as well as the Process used on the Group.  If the Item Group Type has a Process associated with it, the information collected on the Item Group will be associated with all of the Items in that Group.

Jobs

The Jobs component of Idencia allows you to create and manage custom Items and Shipments for a job.  Using this feature you can easily define Custom Item Types needed to create the Items specific for the Job by importing a simple spreadsheet.  You can also use this component to define and manage the shipments for the job.  Finally, you can track the production and shipment status for your Job Items.
