Can I mark up my design drawings in the Idencia Mobile Application?

Overview

Adobe Acrobat integration allows your mobile application users to view, edit, and annotate PDF documents right from within the Idencia Application.

Each Item Type in your Idencia system (both stock Item Types and custom Job Item Types) can be assigned the URL for a document or document library where information about the Item Type can be found.  The document can be linked in one of two ways:

View Only Mode

Documents that you want the user to be able to view, but not edit, should be linked directly.

  1. Using your internet browser, copy the full URL, including the document name and file extension.
    EXAMPLE: https://mywebsite.com/design_drawings/36inPipe/CustomPipeWithElbows.PDF

    Documents can exist anywhere on the web: an internal intranet site, OneDrive, SharePoint, Adobe Acrobat Cloud, etc.  Any URL where the user will have access from their mobile device can be used.

    Valid file types include PDF files and image files (PNG, JPG, GIF, SVG, etc).

  2. In the Management Portal, edit the Item Type to which the document relates.

  3. In the Information URL field, enter the full URL path for the document (form step 1 above) and save.  That's it!

Viewing the File in the Mobile App

In the mobile application, on the top of each Process screen are quick access and process navigation buttons.  To the far right is the information icon (note that some phone and tablet models require rotating the device from portrait to landscape mode in order to reveal the "info" icon).

  • download  Info Icon - Tapping the information icon will open the document associated with the item's Item Type.  The document will open in view only mode.  Tapping the Idencia icon in the upper left corner will return the user to the process where they left off.

Acrobat Integration Mode

If you want to provide users with the ability to edit and annotate a document, you can implement our Adobe Acrobat Integration. 

To use Idencia's Adobe Acrobat integration, you must have an Acrobat Cloud (a.k.a. Adobe Acrobat DC) account and document library.  There are both paid and free versions Acrobat.  Visit the official Adobe website for more information, or contact us at support@idencia.com for help getting started.

Once you have an Acrobat Cloud library:

  1. Copy the URL of the document library where the relevant document resides.
    EXAMPLE: https://documentcloud.adobe.com/link/documents/files/

  2. In the Management Portal, edit the Item Type to which the document relates

  3. In the Information URL field, enter the URL for the document library and save.  Viola!  That's all there is to it.

Viewing & Annotating the File in the Mobile App

  • download  Info Icon - Tapping the information icon will open the document or document library associated with the item's Item Type.  If the URL is an Adobe document library AND Acrobat DC is installed on the mobile device, Idencia will launch the Adobe Acrobat DC mobile app from within the Idencia application. 

  • To access the Adobe markup tools once the document is open, tap the three dots in the upper right corner and Save a Copy

    All of the Acrobat DC controls and options will be available in the saved copy of the document.

    Integration

    Once the document changes are saved and the document closed, tapping the Back (<) button will return the user to the process where they left off.

    NOTE: Each time the user taps the Info Icon, the original version of the document will open.  Saved copies cannot be accessed from within the Idencia mobile app after they have been closed.  Future functionality may be developed to provide access to the marked up document after it has been saved; however, only the original document can currently be accessed from within the Idencia mobile application.  Idencia suggests storing your PDF documents in the cloud using a service like OneDrive.  The original document can then be opened from within Idencia, marked up, and saved to the cloud.  Users can access marked up documents via the OneDrive app on the mobile device.
