How do I change an Item's Item Type or Job?

In this article, learn three ways to change the Item Type or Job associated with an Item.

Overview

There may be times when an Item's Job or Item Type information needs to be updated.  For example:

  • A stock item needs to be moved into a Job
  • A Job item needs to be moved to stock
  • An item is in the wrong Job
  • An item in stock has the wrong Item Type
  • An item in a Job has the wrong Custom Item Type

Below are instructions for how to update Job and Item Type information.

Via the Management Portal

Only an item's Item Type can be updated via the Edit Items screen.  If you wish to update an item's Job, see the Updating Items in Bulk section below.

As long as no processes have been run against the item, and no incomplete process exists, the Item's Item Type (or Custom Item Type) can be updated via the Edit Item screen.  Once a process exists for the item (whether the process is complete or incomplete), the item's Item Type cannot be updated via the Edit Item screen, however; the Item Type can always be updated via .csv file import (see the Updating Items in Bulk) or via the Mobile Application (see Via the Mobile Application)

Using the Edit Item screen

    1. From the Items list, click the Edit icon next to the Serial Number you wish to edit

    2. Click the Item Type drop down list and select the appropriate Item Type

      Stock Items: If the item being updated is not a member of a Job, the drop down list will include all available stock item types (see the What are Items, Item Types and Jobs? article for more information about the differences between stock Item Types and Custom Item Types in a Job).
      Job Items: If the item being updated is a member of a Job, the drop down list will include all other Custom Item Types across all Jobs.

Using a .CSV File

Via the Mobile Application

The instructions below refer to the "Add Item to Job" and "Remove Item from Job" steps within a process.  See the How Do I Update Processes? article for information on how to create a process that includes these steps.

Item is not currently in a Job

Change a stock item's Item Type

    1. Create and run a process that includes the "Remove Item from Job" process step.  

      The Remove Item from Job step is most commonly used to provide mobile application users with the ability to Remove an item from a job and place it in stock, however; if this step is run against an item that is already not part of a job, the user will be given the opportunity to change the item's Item Type.

    2. Select a stock Item Type
    3. Complete the process
    4. Sync

Move a stock item into a Job

    1. Create and run a process that includes the "Add Item to Job" process step.
    2. Select a Job
    3. Select a Custom Item Type
    4. Complete the process
    5. Sync

Item is currently in a Job

Move the item into stock

    1. Create and run a process that includes the "Remove Item from Job" process step.  

      The "Remove Item from Job" step will remove the Job number and Custom Item Type from the item and provide the user with the ability to select the stock Item Type to which the item should be assigned.

    2. Select an Item Type
    3. Complete the process
    4. Sync

Move the item to another Custom Item Type in the same Job

    1. Create and run a process that includes the "Add Item to Job" step.

      The "Add Item to Job" step is most commonly used to move a stock item into a job, however; when run against an item already in a job, the user will be provided with the ability to select a new Job and/or Custom Item Type. 

    2. Select the Job for which the item is already a member (do not update the Job)
    3. Select a new Custom Item Type
    4. Complete the process
    5. Sync

Move the item to another Job via Mobile App

    1. Create and run a process that includes the "Add Item to Job" step.

      The "Add Item to Job" step is most commonly used to move a stock item into a job, however; when run against an item already in a job, the user will be provided with the ability to select a new Job and/or Custom Item Type. 

    2. Select a new Job
    3. Select a new Custom Item Type
    4. Complete the process
    5. Sync

Move the item to another Job via Management Portal

    1. Select the Job
    2. Select the Custom Item Type
    3. Select the Item(s) that you wish to transfer to another Job and press the Transfer button

    4. Select a new Job

A prompt will appear asking "Do you wish to Proceed?'

Select Yes and the Item(s) will transfer to the new Job

If the Custom Item Type doesn't exist in the new Job, a prompt will ask if you wish to create oneChangeJob

Select Yes, and a new Custom Item Type will be created and the Item(s) will transfer to the new Job
