Manually Enter the Serial Number to Work With
- On the mobile app Home screen, tap Auto Generate
- Tap the Manual Entry button in the upper right-hand corner
The auto generated serial number will disappear, and the screen heading will change to Manual Entry. - Tap in the Serial Number field
- Enter the Serial Number using the keyboard
- Tap Next to continue
Any unfinished process associated with the selected item will open automatically at the first incomplete step. If the selected Item does not have an unfinished process, the Processes selection list will be displayed. See How do I complete a process in the mobile app for more information.
Select Items Using a Handheld Scanning Device
If you wish to scan multiple tags, activate the Scan Multiple Tags checkbox. The multi-scan feature will allow you to run a process against multiple items all at the same time. One set of values will be captured and applied to all of the scanned items.
NOTE: Multi-scan mode is only available when scanning tags. You cannot combine multi-scan mode with auto-generating or manually entering serial numbers. Multi-scan mode is also limited to items with no incomplete process. If an item has an incomplete process, that item cannot be included in a multi-scan process, even if the incomplete process was originally started in multi-scan mode.
- On the mobile app Home screen, tap Scan Tag
- If you wish to work with multiple items, check the Scan Multiple Tags box
- Begin scanning RFID tags or Barcodes.
In single scan mode, the Serial Number field will be populated In multi-scan mode, each scanned serial number will appear and increase the Tags Scanned counter at the bottom of the screen. - After all Serial Number(s) have been scanned, tap Next to continue.
If a single item was scanned, any unfinished process associated with the selected item will open automatically at the first incomplete step. If the scanned item(s) do not have an unfinished process, the Processes selection list will be displayed. See How do I complete a process in the mobile app for more information.
If presented with a popup message explaining that a combination of New and Existing Items were scanned, see the Existing Tags/New Tags Message section below for instructions.

- If you wish to work with multiple items, check the Scan Multiple Tags box
- Tap the Scanner Icon () in the upper right-hand corner of the screen
If prompted, provide Idencia with permission to access your mobile device camera. This action will only have to be taken once. - Aim your device at the barcode or QR code you wish to scan and align the red bar with the barcode or QR code
- The scanned item will be added to the list of scanned items
- Repeat steps 3 through 6 until all items have been scanned

Select Items Using the Items List
If you do not have the RFID tag or Barcode available to scan, or do not wish to type in the Serial Number you can select the Serial Number from a list of Existing Items.
- Switch to the View Items tab on the Home screen.
The View Items screen will display items on two tabs: Incomplete Items and All Items
The Incomplete Items tab will display the list of Items that have incomplete processes.
The All Items tab will display all of the items downloaded to the mobile database.
The following information will be displayed for each item:
- The Item Type and Number
- The Item Serial Number
- The current Incomplete Phase for the Item (on the Incomplete Items list only)
- The Date and Time of Creation for the Item
- A red exclamation icon () if the item includes a failed process step - To select an Item from either list, tap the Serial Number.
Any unfinished process associated with the selected item will open automatically at the first incomplete step. If the selected Item does not have an unfinished process, the Processes list will be displayed. See How do I complete a process in the mobile app for more information.
Filtering the Items List
There will be times when the list of Items being displayed is very long. You can filter in one of two ways.
- Enter the serial number or partial serial number in the Serial Number field. The list will be filtered to only those items that match your search criteria.
- Filter the list by user
To filter the list by user:
- Click the Filter icon and a list of Users will be displayed.
The filter menu will display
- Select a User from the list.
The Items list will display only those items created by the selected user.
Existing Tags/New Tags Message
If multiple RFID tags or barcodes are scanned and the list includes a combination of new items and existing items, you will be presented with a popup message.
Because you can only work with one type of item at a time (New or Existing), you will be forced to choose.
- If you choose to work with "New" items, the existing items will be removed from the list and the Select Item Type of Job screen will be displayed.
- If you choose to work with "Existing" items, the new items will be removed from the list and the application will display the Processes List
NOTE: Existing items with incomplete processes cannot be accessed via multi-scan mode. Items with incomplete processes can only be access via the View Items list, by scanning the item individually, or by manually entering the serial number.
