Overview

Processes are the heart of the Idencia system.  The Process is a series of Steps used to collect information about an item.  These steps are grouped into one or more Phases.  Depending on your configuration, Process Phases can be completed in any order, or can be set up so that they must be completed in the order specified.

This article includes the following topics:

What are Process Phases

One of the great things about the Idencia system is the flexibility of the Process.  You can build long complex processes with multiple phases, or short, simple, single phase processes.  For example, you could build one long process called Precast QC that includes a Pre-pour phase, a Post-pour phase, and a Final Visual Inspection & Acceptance phase.  Or you could build three separate, single phase processes that capture the same information.

One of the most common ways to determine whether to build one long, multi-phase process or multiple short processes is whether or not all of the potential phases of the process must be completed in a particular order, or must be completed before any other process can be started.

When considering how to organize and build your processes, keep in mind the following:

  • A given item can only go through one process at a time
  • Once a process is started it can be paused and resumed later, but must be completed or deleted before another process can be started
  • A process is not considered complete until all phases of the process are complete

Phase Configuration Options

There are two configuration options available when creating a process.

  • Show all steps of phase on one screen
  • Complete phases in any order

These options change the way the mobile application behaves when a user completes the process on a mobile device.

Show All Steps Of Phase On One Screen

The Show all steps of phase on one screen option is now permanently checked.

Checked

Checking the Show all steps of phase on one screen checkbox will result in the user being presented with the list of all steps in the phase, all on one screen.

The user will not need to tap Next until all steps in the phase are complete.  This configuration option results in the same user experience regardless of the number of phases in the process.  All of the steps in the phase will appear on one screen.

Complete Phases In Any Order

The Complete phases in any order option only becomes available if the Show all steps of phase on one screen option is checked.  This option controls whether the user will be able to complete the phases in any order, or must complete the phases in the order they appear on the configuration screen.

Consider the configuration screen of the multiphase process pictured below.

This configuration will result in the user being allowed to choose the order in which he completes each phase of the process.  The image below shows how the user will experience this configuration option.

As you can see, all of the steps of the Concrete Test phase are displayed on one screen.  In addition, each phase has been given a tap at the top of the screen.  The tab underlined in blue represents the phase currently in focus. The user can choose to skip the Concrete Test phase and complete the Stripping Break phase by tapping the Stripping Break tab at the top of the screen.   Below is a picture of the Stripping Break phase in focus.

See the Understanding the Process Navigation Buttons section of the Working with Items in the Mobile Application article for a detailed explanation of the navigation buttons on the process screens.

Management by Exception

When a process has been configured for Management by Exception, an additional field will appear on the Edit Process Phase screen.

Edit Phase new field-1

See the Management by Exception knowledge article for a detailed explanation of this option.
