Creating NCDOT Custom Item Types

Overview

Before you can capture information about specific items produced for an NCDOT Job, you must first enter or import information about the types of products that will be produced (custom item types).  This information can be imported from a spreadsheet (recommended), or manually entered in the Idencia Management Portal.  The instructions below will help you create custom item types for your NCDOT Job.

Importing Custom Item Types

In order to import NCDOT job information into your Idencia system, you must first configure an import spreadsheet.  If you have not completed this task, see the NCDOT Lesson 1: Data Import Overview and Setup article for step by step instructions.  If you have already completed this step, continue with the instructions below.

  1. Open your NCDOT Idencia Item Type Import spreadsheet (Precast (PC) or Prestressed (PS))
  2. On the Idencia Custom Item Types tab, complete one row for each product type needed for your NCDOT Job.  Information will include the name and number of each product type, the quantity to be produced, and some additional information about each product type required by NCDOT.

    Note that the Prestressed version of the import spreadsheet requires more columns of information than the Precast version.

    Green columns - select the appropriate value from the dropdown list
    White columns - enter the appropriate value
    Red columns - will automatically be populated based on data entered in white and green columns
  3. Save the active sheet as a .csv file
    1. Select the File menu

    1. Select "Save As" and "Browse"

    2. Change the filename to a unique name that represents the Job (this could be your internal Job number, or the NCDOT contract number).
    3. Change the file type to "CSV (Comma delimited) (*.csv)

      NOTE: There are several different CSV options in the file type dropdown list.  Be sure to choose the version as pictured below.

    4. Click Save
  1. Open and login to the Idencia Gateway website (app.idencia.net)
  2. Select the Projects tab
  3. If your Project already exists, select it from the list.  If your Project does not exist in the list, see the Creating New Project section of the Working With Projects in the Management Portal article for instructions on how to create a job for the products in your spreadsheet.
  4. In the Custom Item Types tab, select the Import buttonImport Custom Item Types

  5. Select the Browse button and locate the .csv file you created above
  6. Click Save

Manually Entering Custom Item Types

You must create a Custom Item Type for each type of product you will be producing for your NCDOT Job. Follow the instructions below to manually create Custom Item Types.

  1. Open and login to the Idencia Gateway website (app.idencia.net)
  2. Select the Projects tab
  3. If your Project already exists, select it from the list.  If your Project does not exist in the list, Create a Project for the products in your spreadsheet.
  4. In the Custom Item Types bar, select the Add Item Type button

  5. Enter information about the first type of product that will be produced for this Job.  Detailed instructions can be found in the Creating Custom Item Types section of the Working With Projects in the Management Portal article.  The following information is required by NCDOT and must be filled in for each Item Type.

          Precast Concrete:
    • Item Type Number
    • Item Type Name
    • Quantity
    • Material*
    • Material ID*
    • Material Type*
    • Material Type ID*
    • Producer*
    • Producer ID*
    • Default Process

      Prestressed Concrete:

    • Item Type Number
    • Item Type Name
    • Quantity
    • Material*
    • Material ID*
    • Material Type*
    • Material Type ID*
    • Producer*
    • Producer ID*
    • Default Process
    • Unit Type
    • Unit Value
    • Bridge Number
    • County Name*
    • County*
    • Station
    • Station Fraction
    • Location
    • NCDOT Contract Number*
* These values must match NCDOT's database information. If you are unsure of what should go in these fields, please contact your NCDOT inspector for help.

 

Repeat these steps for each Item Type (product type) that will be included in the job.
